Marketing Operations Specialist

Description

Job Overview:
The Marketing Operations Specialist will support the marketing team by owning key systems, enhancing processes, and improving lead management strategies. This role serves as the operational backbone of the marketing function, ensuring smooth execution of campaigns, data integrity, and collaboration with sales to optimize performance. 


Responsibilities and Duties: 

Marketing Systems & CRM Management (HubSpot): 

  • Create and manage HubSpot campaigns, workflows, and automation. 
  • Import, score, and segment leads/contacts to support targeted marketing efforts. 
  • Maintain clean and organized CRM data through regular list maintenance and cleanup strategies. 
  • Track performance metrics and build dashboards to visualize results. 
  • Monitor email performance and recommend improvements based on analytics. 
  • Collaborate closely with Sales to refine lead hand-off processes and ensure system alignment. 

Process Workflow Optimization: 

  • Continuously identify opportunities to improve marketing processes and operational efficiency. 
  • Lead enhancements to marketing workflows and tool utilization across the team. 
  • Train marketing and sales teams on system updates, process changes, and best practices. 

Project and Campaign Management: 

  • Manage marketing projects and timelines through Wrike. 
  • Maintain and update the master marketing calendar. 
  • Coordinate cross-functional teams to ensure marketing campaigns stay on track. 

Trade Show and Event Logistics: 

  • Oversee all logistical elements of trade show participation, including paperwork, deadlines, exhibitor portal management, and shipment coordination. 
  • Pack and prepare trade show cases and materials to ensure event readiness. 

Website and Digital Coordination: 

  • Support ongoing website maintenance efforts, coordinating with web developers and tracking projects. 
  • Manage retainer hours and monitor progress on digital tasks. 
  • Organize and report on website analytics to help guide digital improvements. 
  • Handle logistics for webinars, including registration setup, recording management, and uploading content to the website. 

Distributor and Partner Support: 

  • Manage and track distributor co-op advertising fund requests and ensure timely processing. 
  • Provide marketing support and alignment with key distribution partners. 
  • Oversee logistics surrounding distributor promotional requests 

Requirements

Qualifications: 

  • Bachelor’s degree in Business Analytics, Digital Marketing, or a similar field. 
  • 3+ years of experience in marketing operations, marketing automation, or a CRM-focused role 
  • High proficiency in HubSpot (or similar CRM/marketing automation platform) 
  • Experience with website maintenance and Content Management Systems 
  • Experience with Wrike or project management tools 
  • Strong analytical and troubleshooting skills for systems and automations 
  • Excellent organizational skills and attention to detail 
  • Effective communicator with the ability to train and guide team members 
  • Ability to manage multiple projects and priorities simultaneously 
  • Understanding of digital marketing tools and technologies 
  • Strong understanding of key marketing principles and performance metrics
