Executive Assistant

Job Summary

The Executive Assistant will provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. 


Qualifications/Education Requirements

  • Bachelor's degree or equivalent relevant work experience
  • Experience as an executive assistant or equivalent relevant work experience.
  • Strong computer skills
  • Strong verbal and written communication skills
  • Critical thinking skills

Essential Functions

  • Maintaining executive’s agenda and assist in planning appointments, board meetings, conferences etc.
  • Greeting visitors and assist with getting them signed in.
  • Attending meetings and keep minutes 
  • Execute sales or other financial transactions.
  • Make travel, accommodations, complete expense and mileage reports or entertainment arrangements for others.
  • Assist Purchasing with gathering quotes for company purchases.
  • Prepare research or technical reports.
  • Assist new employee setup/training.
  • Manage clerical or administrative activities.
  • Receiving and screening phone calls and redirecting them when appropriate.
  • Coordinate operational and office morale activities.
  • Distribute incoming/outgoing mail.
  • Maintain highly confidential or critical confidentiality matters. Prioritize and determine appropriate course of action, referral or response, exercising judgment to reflect executive leadership style and organization policy.
  • May assist other department managers as needed.
  • Travel if necessary.
  • Other duties as assigned. 

Desired Experience and skills

  • Proficiency in MS Office with expertise in Adobe Acrobat, Microsoft Word, PowerPoint and Excel
  • Ability to analyze and revise operating practices to improve efficiency.
  • Detail-oriented and comfortable working in a fast-paced office environment.
  • Exceptional communication skills
  • Superior organization skills and dedication to completing projects in a timely manner.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to navigate various departments of the organization’s physical premises.
  • Frequent moderate to high stress levels.
