EXECUTIVE ASSISTANT ADMIN

The Executive Assistant Admin will provide day-to-day administrative and operational support to the Field Operations team. This position will serve as a key partner to the Executive Assistant and Field Operations leadership, ensuring that critical functions are executed smoothly and timely. This role enables enterprise alignment, improved task management, and enhanced team responsiveness.

Responsibilities

Administrative & Operational Support

  • Prepare, code, and submit expense reports for field personnel
  • Manage weekly timecard submissions and routing for approval
  • Coordinate team meetings, offsite events, jobsite visits, and catering logistics
  • Handle administrative follow-ups and ensure ARs are tracked and completed
  • Maintain department-wide Bridgit Bench updates and trackers
  • Assist in preparing department status updates and reports

Calendar Management & Communication

  • Support scheduling for recurring team meetings and multi-department coordination
  • Track and follow up on action items owed to SVPs, VPs, and Directors
  • Maintain a clear line of communication between field leaders and executive assistant
  • Coordinate with leaders to ensure timely updates, meeting preps, and documentation

Travel & Relocation

  • Book flights, hotels, rental cars, and other travel accommodations for field operations personnel
  • Track relocation needs and logistics for jobsite moves and new deployments
  • Support travel changes and adjustments with oversight from Bridget
  • Ensure accuracy in itineraries and confirmation details

Onboarding & Personnel Support

  • Coordinate logistics for new hires: IT, trucks, badges, site access, and welcome packets
  • Maintain and update onboarding trackers and checklists
  • Communicate team member changes including transfers, promotions, or new reporting lines
  • Partner with EA team to deliver seamless transitions for field employees

General Executive Assistant Tasks

  • Draft and proofread correspondence and meeting notes
  • Maintain digital and paper filing systems
  • Provide back-up administrative support to Executive Assistant
  • Assist in maintaining department documentation and SOPs

Education & Certifications

  • Entry-level candidate with 1–2 years of general office or admin experience preferred but not mandatory
  • High School Diploma
