WDFW Program- Capital and Asset Management Program (CAMP) – Yakima Construction Shop

Duty Station- Yakima, Washington – Yakima County

Hybrid/Telework- Although this is a hybrid opportunity, the successful candidate must be available to report to the duty station located in Yakima, Washington as needed. The selected candidate may be able to telework/work remotely up to one (1) day per week at the discretion of the supervisor.


The salary listed above does not include the 3% pay increase that goes into effect on July 1, 2025.

The Capital and Asset Management Program (CAMP) serves WDFW by delivering technical and professional engineering, construction, and maintenance to sustain facilities, infrastructure, and ecosystems.


As CAMP’s Administrative Assistant, you will support general office functions at the Yakima Construction Shop by providing guidance on rules and regulations pertaining to division administrative practices, ensuring compliance with retention of construction and administrative records, providing administrative support for a variety of financial documents, and more!


We are seeking an experienced office professional who thrives in a dynamic, collaborative environment while maintaining organization, efficiency, and accuracy.


What to Expect-

Among the varied range of responsibilities held within this role, the Administrative Assistant will,

  • Maintain Microsoft Access database of Bonneville Power Administration (BPA), Federal, State Operation and Maintenance (O&M), Dingle Johnson (DJ), Grant County No Net Impact (NNI), dam and dike maintenance, and fish screen service contracts documenting daily activity.
  • Provide first-line customer service at the Yakima Construction Shop by greeting and conferring with staff, customers, and vendors either in person, over the phone, or in writing to identify needs, provide information, or direct them to appropriate staff.
  • Provide consistent monitoring of general email accounts, organizing correspondence and providing responses on behalf of the division.
  • Work with other professionals to develop knowledge and maintain continuity of programs utilized for CAMP operations such as Jira, Smartsheet, and Microsoft Power BI.
  • Make travel arrangements for construction staff.
  • Maintain the general office supply inventory of used, unused, and needed items; prepare orders for needed and staff-requested items; and prepare detailed lists of unused office supplies and/or equipment in preparation for surplus.
  • Manage the technology needs for the division and serve as liaison to IT for all technology related needs and issues.


Working Conditions:


Work Setting, including hazards: Work is generally performed in an office setting, requiring extensive computer and phone use. Performing the job's functions may require the following physical demands: occasionally lifting packages or other equipment weighing up to 30 lbs; carrying, pushing, and/or pulling; and significant fine finger dexterity.


Schedule: Typically, Monday – Thursday, 6:00 A.M. – 4:30 P.M. with a 30-minute lunch. A flexible work schedule may be considered at the incumbent’s request, subject to supervisory approval, including telework opportunity.



Qualifications:

Required Qualifications:


Option 1: Graduation from high school or GED AND two (2) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.


Option 2: An Associate’s degree or higher.


Option 3: One (1) year of experience as an Administrative Assistant 1.


Please Note: Formal education may substitute year-for-year for the general administrative work experience.


AND applicants must also have demonstrated experience in all of the following:

  • Multi-tasking and managing conflicting priorities, by use of excellent time management and organizational skills.
  • Reading, understanding, and interpreting policies and procedures.
  • Developing written reports.


Competencies:

  • Detail-oriented and meticulous with numbers and data input.
  • Proficiency with Microsoft Office programs (such as Word, Excel, Outlook, and SharePoint) and ability to learn agency-specific programs.
  • Effective communications skills for a diverse range of audiences, both in writing and speech.


Special Requirements/Conditions of Employment:

Successful completion of agency training and/or certification per supervisory direction, position need, and training availability.


Preferred Qualifications:

In addition to the required qualifications, our ideal applicant will possess some or all the following:

  • Data entry experience.
  • 10-key experience.
  • Accounting experience.
  • Proficiency navigating computerized maintenance management systems (CMMS).
