Description

The National WWII Museum is currently seeking a Project Manager, Planning and Special Projects. The Project Manager, Planning and Special Projects will be responsible for coordinating inter-departmental efforts that support the implementation of The National WWII Museum’s strategic plan, institution-wide process improvement, and campus enhancements. The Project Manager plays a key role in streamlining the Museum’s operations, documenting and monitoring activities, and ensuring projects are delivered on time, on budget, and in alignment with institutional goals and priorities. The Project Manager works in a highly collaborative environment that requires initiative; problem-solving; strong project management, administrative, and communication skills; and a proven ability to drive change.

Requirements

  • Collaborate with internal stakeholders to ensure project plans, timelines, impact measures, goals, and budgets are developed, maintained, and shared. 
  • Oversee the planning, execution, monitoring, and evaluation of strategic plan initiatives, including the regular report out of key performance indicators and progress towards goals. 
  • Support planning, coordination, and completion of campus improvement projects, including donor recognition, renovations, and permanent exhibit development. 
  • Create and maintain comprehensive project documentation, including meeting materials and notes; vendor contracts, pay apps, and submittals; and close-out documentation. 
  • Support scheduling, travel and meeting arrangements, and other administrative tasks to ensure the seamless execution of projects. 
  • Organize and prepare presentations, dashboards, and reports for Museum leadership, Board of Trustees, donors, and other stakeholders to share project information. 
  • Serve as the departmental point of contact for assigned projects between Museum team members, prospective and contracted vendors, and other relevant stakeholders. 
  • Facilitate meetings and foster inter-departmental collaboration to proactively identify opportunities, mitigate risks, and ensure alignment with the Museum’s goals, objectives, resources, and strategic plan.
  • Work with leadership to assess existing processes, recommend improvements, and oversee implementation of new workflows and systems. 

Qualifications

  • Strong passion for the mission of The National WWII Museum. 
  • Minimum of 3 – 5 years of administrative or project management experience. Bachelor’s Degree preferred but not required and may be substituted by additional experience providing administrative support for exhibit development, construction projects, or strategic planning. 
  • Proficient in Microsoft 365, especially Word, Excel, Powerpoint, Outlook, Sharepoint, as well as project management tools.  
  • Excellent communication skills, verbal and written.
  • Initiative, strong organizational skills, attention to detail, problem solving abilities, and good judgment.
  • Ability to analyze facts and circumstances to conclude and make recommendations for solving problems within accepted Museum practice.
  • Ability to work independently or in a team environment on shifting assignments under tight time constraints consistently meeting deadlines.
  • Willingness to work irregular hours including evenings, weekends, holidays, special events or during periods of heavy visitation.
