Executive Assistant

Invisible Technologies is a leading AI training and scaling partner working with top foundation model providers and enterprises. We seek a seasoned Executive Assistant to support the CEO by managing complex schedules, coordinating strategic initiatives, and facilitating critical communications in a fast-paced, high-growth environment.

Skills

  • Exceptional organizational and time-management skills.
  • Excellent verbal and written communication with high emotional intelligence.
  • Proficiency in Google Workspace, Slack, Notion, and Zoom.
  • Ability to manage multiple priorities independently across time zones.
  • Strong attention to detail and proactive problem-solving.
  • Flexibility to work hours overlapping with CEO's schedule, including occasional evenings and weekends.

Responsibilities

  • Proactively manage the CEO’s dynamic and fast-paced schedule ensuring strategic prioritization.
  • Continuously triage calendar conflicts and align scheduling with shifting priorities.
  • Partner with Chief of Staff to prepare the CEO for meetings.
  • Serve as liaison between CEO and internal/external stakeholders.
  • Coordinate complex domestic and international travel arrangements.
  • Collaborate with Sales to schedule high-impact client meetings.
  • Organize board meetings and manage communications with key stakeholders.
  • Track action items and ensure timely execution and follow-up.
  • Align with Marketing and Events teams on CEO speaking engagements.
  • Maintain and organize key documents for quick access.

Education

  • Relevant professional experience as an Executive Assistant supporting C-suite executives.
