Job Purpose: Provide accounting services by maintaining accounts payable. Works under general 

supervision. 


Essential Functions include the following. Other duties may be assigned.

1. Attending to the general administrative needs of the AP/Finance department, this role works closely

with and reports to the CFO.

2. Assists in managing accounts payable including auditing PO’s to invoices, entering payables,

reconciling statements to invoices and ensuring vendors are paid in a timely manner.

3. Process expense reports, updating and reconciling sub-ledger to G/L and processing checks.

4. Sorts and alphabetizes packing slips and invoices, matches each packing slip to its corresponding

invoice, and enters invoices to be paid.

5. Creates labeled folders for entered invoices to be filed alphabetically and kept organized.

6. Communicates with both co-workers and vendors to resolve price discrepancies, verify information,

and ensure timely payment.

7. Analyzes vendor statements to ensure all invoices are entered and prepared for prompt payment.

8. Assists in answering phone calls and directs the calls to the respective recipients.

9. Completes tax exempt forms to send to vendors and maintains tax exempt status with respective

vendors and product categories.

10. Processes credit card statements including matching receipts to statements, entering invoices, and

contacting employees for missing receipts.

11. Maintains safe and clean working environment by complying with procedures, rules, and regulations.

12. Supporting accounts receivable tasks, such as entering and tracking data, preparing and mailing

customer statements, submitting online invoices, and helping maintain customer status.

13. Performs additional duties as needed

Qualifications and Requirements:

1. High school diploma or equivalent. College or technical school preferred.

2. Previous customer service and administrative or clerical experience.

3. Excellent written and verbal communication skills, with the ability to clearly communicate detailed

information to customers, coworkers, and management with the ability to provide public speaking and

customer presentations as needed.

4. Ability to read and interpret documents such as invoices, procedure manuals and job instructions and

basic problem-solving skills.

5. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common

fractions, and decimals. Ability to calculate figures and amounts such as proportions and

percentages.

6. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or

diagram form.

7. Ability to manage time effectively and prioritize tasks to meet deadlines and multi-task effectively.

8. Strong attention to detail and organizational skills.

9. Ability to operate computer and computer software, to include Microsoft Office products.

10. Ability to use department equipment.

11. Ability to maintain confidentiality.


Physical Demands and Work Environment:

1. While performing the duties of this job, the employee is regularly required to talk and hear. The

employee is frequently required to sit and walk; use hands to finger, handle, or feel; and reach with

hands and arms. The employee must frequently lift and/or move up to 50 pounds for men or 30

pounds for women. Specific vision abilities required by this job include close vision, distance vision,

peripheral vision, depth perception, and ability to adjust focus.

2. The work environment is usually an indoor setting with infrequent exposure to outside elements. This

position requires infrequent travel, which may involve exposure to extreme weather elements.

3. Must abide by PPE Requirements
