Accounts Payable Supervisor

Join our team and make a positive impact on the lives of others! We are looking for an Accounts Payable Supervisor to join our Accounting team.

This is a hybrid role that requires a partial commute to our main office in New Hyde Park, NY and/or the FreedomCare hub closest to you. 

Position Overview:

FreedomCare is looking for an experienced and motivated Accounts Payable professional to lead our Accounts Payable and Expense Management team!

In support of the Controller, this role will be responsible for overseeing and optimizing our enterprise-wide invoice and expense processing, as well as managing the associated compliance, reporting, and vendor relationships.

Every Day You Will: 

Leadership

• Oversee a team of specialists responsible for enterprise-wide invoicing and expense processing.
• Regularly assess and refine AP processes and procedures, identifying opportunities for enhancements to optimize workflows and boost efficiency.

Communication

• Ensure the timely and accurate handling of all activities within the Accounts Payable (AP) inbox, maintaining high standards of efficiency and precision.
• Cultivate and sustain strong vendor relationships, addressing and resolving issues or discrepancies professionally and promptly. Maintain consistent and professional communication with vendors.

Operations

• Facilitate the accurate and timely preparation of invoices for payment review, ensuring compliance with established payment terms and company policies.
• Oversee the process end-to-end management of invoice processing; ensuring accuracy in data verification, general ledger (GL) and dimension categorization, and adherence to the approval workflow.
• Expense management, with Ramp; including the issuance and management of virtual spend cards. Onboard and train new employee end users and provide policy and use guidance to Ramp users.
• Contribute to the month-end close process by reconciling the accounts payable sub-ledger with the general ledger and preparing necessary accruals.
• Lead projects targeted towards department optimization, starting with our upcoming transition from Stampli to Sage Intacct Accounts Payable.

Reporting

• Ensure adherence to internal controls, policies, and regulatory requirements related to accounts payable. Lead quarterly and annual compliance activities, including 1099 reporting.
• Generate and present regular reports on AP metrics, such as aging reports, general ledger details, and vendor performance analysis.

Ideal Candidates will possess: 

• Requires a minimum of 5 years of experience with accounts payable and expense management, including at least 2 years leading an Accounts Payable team. Experience with cloud-based accounts payable and expense management applications is required.
• Bachelor’s degree in accounting, finance, or a related field
• Hands-on experience working with cloud-based Accounts Payable and expense management systems, such as Sage Intacct, Stampli, Ramp, or similar.
• A proven hands-on leader and subject matter expert, with high level of adaptability and experience leading change management, in a fast-paced environment, presenting a high degree of autonomy, ambiguity, and accountability. 
• Exceptional accuracy and attention to detail, with the ability to manage multiple priorities and meet deadlines in a dynamic environment.
• Ability to effectively evaluate operations, providing critical analysis of systems and processes, as they relate to
• accounting principles and practices, particularly Accounts Payable processes and procedures.
• Strong communication and interpersonal skills, with the capability to collaborate effectively across departments and interact professionally with vendors and internal stakeholders.
• Technical proficiency with the ability to navigate through multiple systems; while maintaining attention to detail and data accuracy 
• Ability to represent FreedomCare holistically, with high emotional intelligence, empathy, and consciousness of end-user experiences (employees and customers).
