About the location:

A rare gem on Florida’s Gulf Coast of Southwest Florida, Naples Beach Club, a Four Seasons Resort, is an exclusive collection of 156 luxurious beachfront private residences and a 222-room hotel all within a 125-acre walkable coastal village in the heart of Old Naples. Honoring local heritage and artfully reimagined for modern-day elegance, the resort includes residents-only facilities and amenities, a luxury spa and state-of-the-art well-being/fitness center, exquisite and diverse fine dining outlets, outdoor pursuits to include a tennis center, and an 18-hole golf course, bowling and movie theater experiences, and an exclusive private club. The first of its kind, the Naples Beach Club, a Four Seasons Resort, is paradise found.

About the role: 
We are looking for an individual who can provide support to our sales department. You will be responsible for assisting Sales Managers in selling and promoting the Naples Beach Club, a Four Seasons Resort. In this role, you will also support your supervisor in functions including, but not limited to typing, the preparation of proposals and contracts, site inspections, seamless data input, maintenance of databases, supply ordering and tracking, handling managers incoming and outgoing mail, answering phones and providing additional general office and hotel assistance when needed.
What you will do: 
-Be a part of a pre-opening team! 
-Assisting with all office sales efforts, including responding to general inquiries and client requests. 
Answering all incoming phone calls and pre-qualifying leads in a time-efficient and professional manner.
-Performing administrative tasks supporting all group sales efforts as assigned by sales leadership including but not limited to: preparing sales kits, documenting prospective accounts, organizing files, preparing contracts, preparation of invoices, purchasing of office supplies and data entry. 
-Processing all turnovers, prepare new client files and properly close completed client files. 
-Creating and maintaining computer and paper-based filing and organization systems for records, reports, and documents.
-Confirming reservations and upgrades, coordinating the planning of amenity arrangements.
-Assisting in preparation of reports as required by the Director of Marketing and Director of Sales. 
-Ability to work independently, be self-motivated and proactive in taking on new tasks.
Paying strong attention to details with keen sense of follow-up and meeting of deadlines.
-Assisting Sales Team with any additional/special projects. 
-Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.  
-Work harmoniously and professionally with coworkers.
-Periodically assist with front of house operations including greeting and directing guests, manning hospitality desks, and working with Banquets on ‘quick sets’ or teardowns.
-Attend all required meetings.
-Other tasks or projects as assigned.
What you bring: 
-College education/degree preferred or equivalent experience.
-Minimum two years previous experience in a secretarial, hotel, and/or related experience required. 
-High attention to detail. 
-Exceptional organizational skills. 
-Ability to multitask. 
-Extremely strong written communications skills.
-Proficient in MS Word, Excel, Internet, Outlook and Delphi (a plus).
-Strong and effective communication skills.
-Ability to read, write, and speak English.
