Position Overview
Support the Chief Marketing Officer and other marketing team members in administrative functions to ensure the smooth operation of the marketing department. This role is essential for maintaining organized processes, accurate reporting, and effective team collaboration.


Key Responsibilities

  • Manage key administrative processes for the marketing team, such as co-op advertising submissions and vendor management.
  • Assist the Chief Marketing Officer as needed for various tasks and projects
  • Assist with the management and processing of incoming marketing invoices and purchase orders (POs); monitor and report spending discrepancies to marketing management.
  • Assist Account Managers with expense reporting, documentation, and organization of financial records.
  • Assist with digital onboarding and offboarding of employees, including setting up and disabling email accounts, file access, and designated software accounts.
  • Provide access management for marketing software and digital tools as required.
  • Serve as a point of contact for the marketing team, offering administrative support and responding to ad hoc requests.
  • Prepare, deliver, and maintain scheduled and on-demand marketing reports.
  • Support manufacturer co-op submissions, including gathering documentation, completing forms, and tracking approvals.
  • Support additional projects and tasks as needed in a collaborative team environment.


Requirements

 Required Skills and Abilities

  • Exceptional attention to detail and accuracy in all tasks.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent interpersonal and customer service skills, supporting internal staff as primary stakeholders.
  • Advanced computer literacy; ability to quickly learn and adapt to new software platforms and digital tools.
  • Effective written and verbal communication skills.

Preferred Qualifications

  • High school diploma or GED required.
  • One to three months of relevant administrative, marketing, or coordination experience preferred; equivalent combinations of education and experience considered.
  • Experience in a collaborative, fast-paced office environment is a plus.
  • Basic understanding of AI usage and a willingness to explore automations and efficiencies

Physical Requirements

  • Primarily a desk-based position; must be able to sit for extended periods.
  • Occasional light lifting may be required.
