Administrative Assistant

Description

This position entails providing exceptional service by guiding clients to different areas within the office, notifying employees of visitors, managing incoming calls, recording messages, and handling mail distribution. The role also involves offering ad-hoc administrative support to various departments.


The Administrative Assistant will operate a multi-line telephone system, proficiently directing calls to the appropriate staff and ensuring accurate message relay. In addition, this role involves communication with clinical and administrative staff through both phone and a specialized messaging system. Upholding a commitment to privacy and confidentiality is paramount in this position.


ESSENTIAL JOB FUNCTIONS

  • Open reception area daily, no later than 8:30 AM.
  • Lock the reception area at the end of the workday.
  • Take the phone lines off the answering service daily and retrieve messages.
  • Answer phones and take messages as primary receptionist. Call or Teams staff to relay messages during the day.
  • Has primary responsibility for visitor reception and triaging of visitor needs.
  • Ensures that information about patients, families, hospice staff, and volunteers is kept confidential according to agency policy and the requirements of the Health Insurance Portability and Accountability Act (HIPPA).
  • Demonstrate and continually develop a working style which fosters teamwork, and which effectively uses communication, conflict resolution, and problem-solving skills.
  • Ability to maintain team report and effectiveness and to establish and maintain a work environment based on open communication and mutual respect.
  • Consistently meet all standards of conduct delineated in the YoloCares Integrity Program, Standards of Conduct, and A Guide to Compliance and Ethics.
  • Stay up to date on virtual training assessments in the employee training website.

Requirements

JOB QUALIFICATIONS

  • Ability to independently coordinate a variety of tasks and functions, work around frequent interruptions, organize workload, and adapt to rapidly changing priorities.
  • Ability to quickly and effectively communicate accurate information while under pressure with minimum direction.
  • Strong self-direction, initiative, and good judgement.
  • Ability to meet agency background screening requirements.
  • Able to hear, speak, read, write, and/or type well enough to perform required job duties.
  • Ability to communicate in Spanish is preferred.
  • Able to use a computer to perform required job duties.
  • Able to lift and carry up to 15 pounds.
  • Willing and able to flex hours to meet occasional appropriate business needs during evenings or weekends.
  • If driving on YoloCares business, must have a valid California driver’s license and state-required automobile insurance.
  • Medical Assistant - Preferred

OTHER JOB SPECIFICATIONS

Pay Range: $45,760 - $55,120 per year

Schedule: Monday – Friday, 8:30 AM – 5 PM
