Secretary (ChabadOne experience)
We are seeking a highly organized and detail-oriented Secretary with hands-on experience using ChabadOne and related platforms to support our office operations, file payments on ChabadOne CRM and follow up with clients. The ideal candidate will be familiar with Chabad community functions, sensitive to Jewish traditions and schedules, and capable of managing both administrative and digital responsibilities in a fast-paced environment.
Key Responsibilities:
- Manage and maintain the office calendar, including Jewish holidays, classes, events, and appointments
- Draft and send weekly emails and newsletters using ChabadOne CMS and MyChabad tools
- Update and maintain the organization’s website, event pages, and registration forms
- Assist in coordinating community programs, including RSVPs, vendor communication, and event setup
- Handle phone calls, email correspondence, and walk-in inquiries with professionalism and warmth
- Maintain donor records and contribution acknowledgments through ChabadOne and/or CRM systems
- Prepare flyers, brochures, and other promotional materials (basic design knowledge preferred)
- Process online donations, track payments, and assist with invoicing when needed
- Support Rabbinical and educational staff with administrative tasks
- Proven experience with ChabadOne CMS, MyChabad, and online donation/event tools
- Strong organizational, time management, and communication skills
- Understanding of Chabad culture and Jewish community dynamics
- Comfortable working around the Jewish calendar and synagogue programs
- Proficient in Google Workspace, Microsoft Office, and email marketing tools
- Ability to multitask and maintain a warm, community-first attitude
- Graphic design or social media management experience is a plus
