Job Description

Position Summary:

The Assistant Director supports the daily operations of the Permitting Services Division, with a focus on data management, customer service, and application processing for Own Risk Employers, Third Party Administrators (TPAs), and Group Self-Insurance Associations. This role ensures the accuracy and efficiency of internal systems and external communications while assisting with regulatory compliance and permitting procedures.

Salary:

Commensurate with Education and Experience.

Essential Duties and Responsibilities:

Application & Permit Processing:

  • Reviews applications for Own Risk Employers, TPAs, and Group Associations for completeness.
  • Requests and tracks additional documentation from applicants.

Data & System Management:

  • Maintains permitting and certification records in Excel and CaseOK systems
  • Collaborates with IT teams and vendors (e.g., Objectstream) to test and resolve system issues.
  • Ensures data integrity and consistency across platforms.

Communication & Stakeholder Support:

  • Serves as point of contact for inquiries from the public, regulated entities, attorneys, and other government agencies.
  • Sends renewal notices, collateral requests, and other correspondence to applicants and permit holders.
  • Coordinates with internal departments such as Records, Mail Room, and Case Commencement.

General Duties

  • Performs other related duties as assigned to support the goals of the division and agency.

Education and Experience:

  • Bachelor’s degree in Business Administration or related field required
  • Minimum of 3-5 years of insurance or workers’ compensation industry experience

Job Knowledge, Skills and Abilities:

  • Knowledge of administrative and clerical procedures and database systems (e.g., Excel, Access).
  • Familiarity with workers' compensation terminology and permitting processes.
  • Excellent written and oral communication skills.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities.
  • Ability to work independently and collaboratively with stakeholders.

Supervisory Responsibilities:

  • None

Physical Demands:

  • Sufficient physical ability to work in an office setting and operate standard office equipment.
  • Occasional to frequent lifting of items not to exceed 25 lbs.

Work Environment:

  • Work is primarily performed in a climate-controlled office environment
