Job Title: Executive Assistant to the CEO
Location: On-Site | Magic City Innovation District, Miami, FL
Compensation: $80,000–$100,000 Base + Performance Bonus (Tied to CEO Bonus)
Schedule: Monday–Friday (Availability 7 Days a Week for Urgent Needs)

About the Role

We are hiring a world-class Executive Assistant to support the CEO of multiple companies — including a high-growth SaaS platform and a nationally recognized marketing agency headquartered in Miami. This is a fast-paced, executive-level position with exposure to global brands, billion-dollar clients, and top-tier events.

This is a full-time, on-site role at our Magic City warehouse office. You will serve as the CEO’s right hand, overseeing daily priorities, internal operations, and high-profile client interactions. Polished communication, high energy, and absolute discretion are non-negotiable.

Ideal Candidate Profile

Key Responsibilities

Executive & Administrative Support

  • Manage CEO’s to-do list, calendar, and daily priorities
  • Draft and send professional communications on behalf of the CEO
  • Coordinate meetings with clients, vendors, and internal teams
  • Ensure action items are followed through across departments

Office Operations

  • Serve as executive receptionist for all visitors and VIP clients
  • Handle mail scanning and routing to appropriate teams
  • Maintain and reorder office, kitchen, and cleaning supplies
  • Oversee maintenance vendors, tech staff, and general office upkeep

Hospitality & Event Logistics

  • Coordinate catering, travel, and hospitality for visiting clients and employees
  • Support execution of major brand events (e.g. TikTok, CPG brand activations)
  • Run occasional local errands (requires reliable personal vehicle)

Productivity & Workflow Optimization

  • Use internal tools (e.g., ChatGPT, Notion, Slack, Google Workspace)
  • Keep digital records, SOPs, and trackers organized and updated
  • Proactively identify ways to streamline executive operations

Qualifications

  • 5+ years experience supporting C-level executives or equivalent
  • Experience in hospitality, luxury service, or concierge environments is highly valued
  • Exceptional written and verbal English — grammar, tone, and professionalism must be flawless
  • Strong tech fluency and ability to learn new systems quickly
  • Must have a reliable vehicle and valid driver’s license
  • Must dress professionally every day and maintain executive presence
  • Willing to work long hours and be available 7 days a week for urgent matters
  • Must live in Miami and be able to work in-office 5 days per week

Disqualifiers — Do Not Apply If You:

  • Lack executive assistant or high-end service industry experience
  • Are looking for remote, hybrid, or flexible scheduling
  • Are not available beyond standard business hours when needed
  • Cannot communicate fluently and professionally in English
  • Are uncomfortable interfacing with high-profile individuals and public figures
  • Do not live in Miami or have reliable transportation

Professional Presence

  • Must dress professionally and present executive-level polish every day
  • Comfortable representing the CEO to VIPs, celebrities, and global clients

Availability & Work Ethic

  • Willing to work long hours as needed
  • Available 7 days a week by phone/text for urgent matters
  • Strong follow-through and independent execution

Tech Fluency

  • Proficient with digital tools such as:
    • ChatGPT
    • Slack
    • Google Workspace
    • Calendar & productivity software

  • Quick to learn and adapt to new platforms

Transportation

  • Must have a reliable personal vehicle
  • Must hold a valid driver’s license
  • Comfortable running errands or coordinating off-site logistics
