Accounts Payable Specialist

Job Summary: The Accounts Payable Specialist is responsible for managing the accounts payable process, ensuring timely and accurate processing of invoices, managing vendor relationships, and maintaining accurate financial records. The ideal candidate will possess strong attention to detail, excellent communication and interpersonal skills, and a solid understanding of accounting and financial principles. Our Accounting Department operates with high levels of efficiency and attention to detail, and our Accounts Payable Specialist is able to provide excellent customer service and work efficiently and effectively with minimal supervision. 

Key Responsibilities: 

 

  • Process and code invoices, ensuring accuracy and timely payment.
  • Verify accuracy of client matter codes, office codes and disbursement codes.
  • Set up and maintain vendor database.
  • Ensures that charges are routed for approval and authorized for payment.
  • Prepare and process electronic check requests to be printed at multiple locations.
  • Prepare reports using Microsoft Excel.
  • Reconcile vendor statements and resolve any discrepancies.
  • Review and process employee expense reports 
  • Maintain accurate and up-to-date records of all accounts payable transactions. 
  • Assist with month-end close processes and provide support for audits.
  • Work closely with internal departments and external vendors to resolve any payment issues or discrepancies.
  • Maintenance and issuance of 1099’s.
  • Assist with other accounting duties as assigned by the Accounting Manager

 

 Qualifications

  • 2+ years of full-cycle Accounts Payable required
  • Experience with coding and posting invoices.
  • Prefer experience working with multiple offices and multiple companies.
  • Bachelor's degree in Accounting preferred, but not required. 
  • Knowledge of Sage is preferred, but not required. 
  • Proficient Excel skills
  • Detailed oriented & extremely organized.
  • Ability to prioritize workload, manage time and resources efficiently.
  • Ability to work in a fast paced, team-oriented environment.
