Sales Support Specialist

Description

We are seeking a motivated and detail-oriented Sales Support Specialist to join our team. In this role, you will assist clients through each step of the sales process, ensuring a seamless experience from order placement to fulfillment. You will be responsible for resolving any concerns related to processing, tracking, and shipping customer orders, while overseeing the end-to-end order fulfillment process. Additionally, you will identify potential clients and maintain databases of sales information.

Duties and Responsibilities

Manage the processing of purchase orders

- Input POs in NetSuite daily

- Ensure accuracy in the manual order entry process, reviewing pricing, regional SKU (Domestic vs EU) and customers incentives

- Engage directly with customers, providing suggestions on how to maximize/optimize shipment

- Support Shipping Team with coordination and processing of POs in a timely manner

- Partner with Operations team on inventory management, to ensure proper availability of products

- Keep track of POs at all times, to be able to provide updates to both customers and internal teams (weekly sales meetings)

- Assist the Sales Manager in initiating monthly purchase order (PO) requests aligned with the approved Budget and Latest Estimate (LE).


Provide administrative support to new distribution initiatives

- Tailor PPT presentations for new distributors as needed

- Coordinate onboarding of new customers with Finance and Operations

- Coordinate the necessary information with new distributors to ensure a fluid process of POs

- Coordinate providing necessary documentation for health registrations

- Fill in the necessary product files for new retail listings


Promote and push innovation and seasonal products

- Tailor PPT presentations for innovation as needed

- Ensure distributors have price lists and specifications on new products

- Keep track of shipments of innovation and seasonal products (Bonus Sizes)

- Coordinate and follow-up samples shipment of innovation to distributors and retailers


Support the execution of marketing and promotional programs with retailers and distributors

- Facilitate marketing materials (images, presentations, etc.) to distributors as needed

- In partnership with Marketing, maintain and update Sales Central and Dropbox folders that are shared with internal teams, Distributors and Retailers


Maintain and organize customers information

- Request sell-out/POS information on a monthly basis

- Keep track of rebates, incentive discounts and other negotiations 


Support internal customers and processes

- Oversee EDI issues, meeting weekly with EDI reps to address and resolve errors.

- Liaise with Supply Chain and Sales on new customers, inventory, and item setups.

- Participate in team meetings and offer insight on recurring order issues


Manage ad-hoc customer related issues

- Handle customers’ requests related to damages, shortages, and credit memos

- Support and handle requests from The Kirschner Group (Domestic and International)

Requirements

Experience/Education

Required 

- High School degree or equivalent 

- Min of 1-year experience in order management, customer service, or a similar role

- Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)

- Experience with ERP systems such as NetSuite and Salesforce

- Ability to function well in a high-paced and at times stressful environment.

- Strong attention to detail and organizational skills.

- Excellent communication and interpersonal abilities.

- Ability to multitask and prioritize in a fast-paced environment.


Preferred

- Strong analytical skills for data interpretation and reporting.


Physical Requirements:

- Prolonged periods sitting at a desk and working on a computer.

- Must be able to lift up to 15 pounds at times.
