Accounts Payable Supervisor

Description

We are seeking an AP Supervisor to join the Accounting & Finance team. The AP Supervisor plays a crucial role in overseeing the day-to-day operations of Accounts Payable, ensuring timely and accurate processing of invoices, and effective vendor management. This role leads and recommends policies, procedures, and internal controls to streamline operations and enhance accuracy. The AP Supervisor will collaborate with internal and external stakeholders, respond to inquiries, support audits, and assist the Accounts Payable Manager in shaping and enforcing company policies. The position also includes leading and assisting with the bi-weekly check run and providing full-cycle accounts payable processing support.

This is a hybrid role, requiring a minimum of two days per week in our San Francisco office.

Responsibilities

• Lead and assist with the bi-weekly check run; provide full-cycle accounts payable processing support.
• Monitor the AP inbox consistently, with support from AP Specialist I, to ensure all approvals, invoices, statements, and other correspondence are handled timely.
• Build and maintain strong relationships with internal departments and external vendors to resolve discrepancies.
• Maintain and update Accounts Payable logs and spend tracking documents daily.
• Respond to and resolve escalated issues, prioritizing and informing management as appropriate.
• Review all coding, including vendor bills, corporate credit cards, and expense reports.
• Maintain accurate vendor files, including W-9 / W-8BEN, ACH, and wire information.
• Communicate with vendors to verify accurate and current payment details, applying enhanced skepticism when vendor information changes.
• Prepare and execute payment uploads to the banking platform 
• Monitor daily cash activity within the banking platform 
• Assist with special projects as needed and adapt to new tasks and responsibilities as business needs evolve.
• Provide support and mentorship to AP team members; assist in onboarding new staff as required.
• Perform other duties and special projects as assigned.

Requirements

• Bachelor’s degree.
• Minimum 5 years of experience in Accounts Payable, with at least 1–2 years in a supervisory or lead role.
• Proficient with Microsoft Office applications (particularly Excel), with knowledge of and experience using advanced features. 
• Proficient with Adobe Acrobat application, with knowledge of basic functions such as organize pages, bookmark, comment, combine and protect. 
• Experience with an ERP system, Sage Intacct is a plus, but not required.
• Experience with multi-entity organization structures (similar to real estate industry) is preferred.
