Job Description Summary

The Assistant Director for Events and Engagement is responsible for developing, implementing and managing assigned Ringling College fundraising and constituent events. Using independent judgment and discretion, the Assistant Director directs and produces all elements of assigned events including marketing, volunteer recruitment and management, logistics planning and execution, and on-site management. The Assistant Director is responsible for achieving all goals related to Office for Advancement fundraising events including funds raised, attendance, attendee satisfaction, and appropriate follow up.
The scope of the job requires attendance at evening and/or weekend activities, events and meetings as well as occasional travel.

Job Description

DUTIES AND RESPONSIBILITIES:

  • Organizes and manages all aspects of each assigned event including initial concept and design, budget, project plan and timetable, vendor relations, media coverage, and production to ensure events meet established goals and to create an exceptional experience for participants and volunteers.
  • Develops plan for event staffing (e.g., volunteers and vendors) and directs the activities of event staff.
  • Works collaboratively with College departments to coordinate and manage the logistics of on-campus events including Facilities, Housekeeping, Public Safety, and Institutional Technology staff.
  • In coordination with staff and volunteers, develops and manages event marketing including the design and production of materials, internal as well as external communications, and advertising related to events making sure that they are effective as well as maintain an appropriate and favorable image of Ringling College. Works collaboratively with the Design Center and Marketing and Communications, as appropriate.
  • Solicits sponsorships as appropriate as well as provides necessary/appropriate information to Development Officers to assist in the securing of sponsorships.
  • Effectively recruits, manages, and stewards volunteers, both internal and external, by actively engaging them in all aspects of event development, including identifying opportunities, planning and implementing the event plan. Recruits speakers, faculty and staff to participate in events/programs.
  • In coordination with Advancement Services, manages invitation, registration, and volunteer lists for assigned events ensuring accuracy. Directs Administrative Assistants in RSVP and nametag process and entering final attendance in database.
  • Represents the Office for Advancement at functions and meetings as assigned, working with prospects, donors, alumni and friends to strengthen their ties to the college.
  • Maintains positive relationships with outside vendors and suppliers to facilitate the effective negotiation for services. 
  • Maintains complete understanding of the College’s fundraising needs and goals. Collaborates with senior staff and Advancement staff to identify, plan and implement special event opportunities that support these needs and goals.
  • Maintains professional competency in the field of higher-education development and best practices in special events through reading, professional contacts, attending courses and participating in organizations such as CASE.
  • Participates as a fully productive member of the department staff by effectively communicating, collaborating to achieve goals, supporting and contributing to the efforts of others, adhering to the College’s procedures and policies and maintaining confidentiality.
  • Maintains knowledge of database system’s functionality and ability to input data necessary to effectively manage invitation lists, donor, prospect and sponsor records and response processes.
  • Performs other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Experience and working knowledge of all aspects of a comprehensive fund development program, particularly the role of optimizing special events in such a program.
  • Experience and ability to produce and manage large scale events and complex projects.
  • Excellent organizational skills.
  • Ability to handle numerous projects simultaneously.
  • Attention to detail and timely completion of tasks.
  • Exceptional communication and interpersonal skills.
  • Experience and ability to build relationships with donors and volunteers.
  • Ability to delegate, empower and lead volunteers, colleagues, students, staff and faculty.
  • Good collaborative skills and aptitude for fostering team work.
  • Proficient in the use of computer programs to plan, manage and implement events.
  • Skilled in creating and implementing plans and budgets.
  • Ability to work across departmental lines with appreciation for goals and objectives of all campus entities and the institution as a whole.
  • Ability to work irregular and extended hours including evenings and weekends.

Education and Experience

Minimum:

  • Bachelor’s degree from an accredited college or university, or equivalent combination of education and experience.   
  • Three years of professional experience in fund development, especially planning and implementing large-scale signature events.

Preferred:

  • Certification in fund development and/or event planning.
