JOB SUMMARY
The Senior Tax Processing Specialist plays a critical role in optimizing workflows and ensures accurate, efficient, and compliant handling of taxpayer documents and payments. The Senior Specialist will serve as a subject matter expert, mentor team members, and drive continuous improvement initiatives across multiple operational areas, including various sections of Central Processing including Printing/Outgoing Mail, Incoming Returns, Imaging, Remit Processing, Data Entry, Research, Reconciliation forms and testing to ensure workflow optimization. This role requires daily interaction with internal and external customers, providing clear communication and vital support services.
DUTIES AND RESPONSIBILITIES
· Oversee and manage assigned production schedules, ensuring the timely completion of high-volume, complex tasks across multiple tax types.
· Compile, analyze, and present detailed production and statistical reports to support strategic operational monitoring and decision-making.
· Conduct in-depth research of taxpayer accounts to resolve complex discrepancies, apply payments accurately, correct returns, and authorize them for further processing.
· Interpret and apply tax laws, regulations, policies, and procedures to ensure the proper handling of taxpayer forms and sensitive data.
· Utilize advanced critical thinking to evaluate and resolve escalated processing issues while maintaining high standards of accuracy, timeliness, and compliance.
· Lead quality assurance efforts by reviewing and editing tax returns, forms, and correspondence, ensuring all data and payment processing meet regulatory standards.
· Perform advanced data entry and reconciliation of payments across all tax categories, ensuring precise posting to taxpayer accounts.
· Review and validate payment submissions, identify discrepancies, and ensure that liabilities are resolved and processed for deposit in accordance with statutory requirements.
· Independently correct complex tax documentation and returns using established legal and procedural guidelines.
· Exercise delegated authority to reject improper or noncompliant tax payments and take corrective action as needed.
· Maintain and update taxpayer data within electronic systems, ensuring integrity and compliance with archival standards.
· Prioritize and reassign workload to accommodate shifting operational demands and ensure completion of high-priority assignments.
· Lead the coordination of incoming and outgoing mail operations, including operating high-volume processing equipment and ensuring smooth workflow.
· Act as the primary liaison for equipment issues, collaborating with vendors and IT to maintain operational continuity.
· Proactively identify and report systemic issues to management, recommend procedural improvements, and contribute to the development of corrective action plans.
· Provide cross-functional support by rotating through key sections such as Imaging, Remittance Processing, Data Entry, Printing, Mail Operations, and Research, Reconciliation forms and testing teams.
· Serve as a resource for technical guidance and procedural clarification to peers.
· Perform additional duties as assigned.
COMPLEXITY OF KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of:
· Advanced tax forms, reporting methods, and applicable tax laws, regulations, and statutes.
· Best practices for optimizing office operations, including record-keeping, reporting, and operational analysis using advanced Excel functions (e.g., pivot tables, VLOOKUP, and macros).
· Strategies for developing and implementing process improvements in a dynamic work environment.
· Principles of workflow optimization.
· Organizational policies and procedures, including cross-departmental collaboration and compliance requirements.

Expertise in Microsoft Office Suite, including advanced Excel and Word.

· Exceptional interpersonal skills, including the ability to manage conflict, mentor peers, and engage effectively with diverse stakeholders.
· Decision-making and strategic planning in high-pressure, fast-paced environments.

MINIMUM QUALIFICATIONS
Education and Experience requirements at this level consist of:
· High school diploma or GED.
· Plus, 2 years’ experience as Tax Processing Specialist, and experience in a production environment and/or testing, reconciliation, and implementation of various projects are required.
PREFERRED QUALIFICATIONS
Preference will be given to candidates with experience in working with tax forms, testing, or processing environments, as well as data research and reconciliation.
PHYSICAL DEMANDS
Ability to sit and stand for extended periods of time. Exhibit manual dexterity and hand-eye coordination to operate a computer, keyboard, photocopier, telephone, calculator, and other office equipment. Ability to see and read a computer screen and printed material with or without vision aids. Ability to hear and understand speech at normal levels, with or without aids. Ability to communicate clearly. Physical ability to lift up to 50 pounds, to bend, stoop, climb stairs, walk and reach. Duties are normally performed in an office environment with a moderate noise level.
SPECIAL REQUIREMENTS
Travel may be required for this position. Applicants may need to have reliable transportation and be willing and able to perform all job-related travel. Possession and maintenance of a valid Oklahoma State Driver’s License is also required.
Willingness to work additional hours, including overtime, during peak periods of the tax season to meet deadlines and ensure timely completion of tasks.
Oklahoma Tax Commission’s normal work hours are Monday through Friday, 7:30am to 4:30pm. This schedule may require minor flexibility based on the needs of the agency.
The primary work location will be on-site at the Oklahoma Tax Commission. Occasionally, telework may be requested based on the needs of the agency, division, and section. If applicable, applicant must be willing and able to work on-site with occasional telework at an off-site location, generally in the applicant’s home. To work remotely, an applicant must have a secure internet connection and a dedicated telephone (landline) or smart phone device during scheduled working hours.
