HR Generalist - Leaves/Workers Compensation/Compliance

Description

 The HR Generalist (HRG) plays a vital role in supporting management teams with organizational safety, employee leaves, workers' compensation claims, while maintaining positive employee relations and confidential employee records.  The HRG actively supports various committees and teams within the agency, including management, safety, and other committees, as well as special projects as assigned.   

The ideal Human Resources Generalist believes in the agency's Vision and Values, has a broad range of skills and talents that empower well-being and achievement for all, and contributes to IEI's mission.

 

ESSENTIAL FUNCTIONS:

  • Communicate frequently with coworkers in person, phone, email, and/or videoconferencing
  • Dependable, reliable, and regular work attendance, including team meetings, All-Staff Meetings, and Team and Organizational retreats as required
  • Engage in assertive, respectful communication while using person-first or preferred language.
  • Operate within established policies and procedures framework with little supervision and direction. 
  • Strong computer skills, including Excel, Word, and other Microsoft Office and Google Suite applications
  • Proficiency with or the ability to quickly learn the organization's HRIS and talent management systems.  
  • Complete time and attendance records (e.g., Timesheet) according to agency expectations.
  • Meet established timelines and deadlines.
  • Follow and model all policies, procedures, and systems appropriately.
  • Follows state and federal laws and agency personnel policies/procedures
  • Engage in ongoing learning in areas of responsibility
  • Other duties as assigned by supervisor or designee

DUTIES AND RESPONSIBILITIES:

This list of duties is not meant to be an exhaustive list of “all duties” for which an HR Generalist is responsible. It is merely an outline of the areas of responsibility and duties.

  • Assist with the administration of the functional areas of Human Resources.
  • Leaves of Absence/ Workers’ Compensation/ Unemployment:
    • Checking websites, email, and regular mail for new claims 
    • Tracking, sending notifications, and checking in with employees during leave
  • HR Administration:
    • Maintaining accurate employee records, including personnel files and HRIS data. 
    • Processing paperwork and ensuring compliance with HR policies and procedures. 
    • Maintain confidential employee personnel and medical records.
    • Gather and review with the Licensing Team from ODDS the necessary documents from employee records.
  • Be an active participant in the centralized safety committee by attending meetings and completing safety checklists.
  • Assist with implementing new policies and maintaining employment records. 
  • Other duties as assigned

  • Understand and follow agency systems, policies, and procedures.
  • Team support 
  • Provide support and cover other admin positions as needed.
  • Actively engage with the administrative team. 
  • Make suggestions as to how the total system can be improved.  
  • Collaborate with coworkers, supervisors, and staff from other departments to resolve issues and enhance processes and services.

Requirements

GENERAL REQUIREMENTS: 

  • Valid Oregon driver’s license for three (3) consecutive years with an insurable record
  • Acceptable state/federal mandated background check (including Protected Service Investigations).
  • A high school diploma or GED 
  • One (1) year of Human Resources, administrative, or clerical experience required.  An HR credential or certification is preferred. 

 KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong computer skills, including Excel, Word, and other Microsoft Office and Google Suite applications
  • Proficiency with or the ability to quickly learn the organization's HRIS and talent management systems.  
  • Self-motivated and willing to learn new skills
  • Handle multiple detailed duties with a very high level of accuracy.
  • Service-oriented and willing to help out wherever needed.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal, negotiation, and conflict-resolution skills. 
  • Excellent organizational skills and attention to detail. 
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to prioritize tasks and delegate them when appropriate. 
  • Basic knowledge of Federal and State employment-related laws and regulations.
