POSITION SUMMARY
The Managing Director of Archival Services will lead the strategic day-to-day operations of servicing and execution processing by overseeing the wholesale supply program, managing vendor relationships, and tracking key performance metrics to ensure project milestones are met. You’ll play a key role in optimizing workflows, upholding high quality control standards, and ensuring compliance with archival best practices. Collaboration with the Logistics Department is essential to align operational goals with archival standards. This is a full-time, on-site position in Duluth, GA that reports to the Vice President of Archival Services, and supervises a team of Directors and Senior Archivists. RESPONSIBILITIES
PROJECT MANAGEMENT
· Oversee and track weekly processing project reports from Directors and Senior Archivist to ensure alignment with project timelines and key deliverables.
· Analyze processing data to identify performance trends, bottlenecks, and workflow deviations; implement corrective strategies to optimize efficiency.
· Define and enforce rigorous quality control benchmarks, ensuring consistent application of standards across both Execution and Servicing teams.
· Review processing plans of Senior Archivists and Directors as submitted on standardized templates to ensure budgetary and contractual compliance for all projects.
PERSONNEL MANAGEMENT
· Provide strategic leadership and direct supervision to the Servicing Director, Sports Collections Director, Corporate Collection Director, and Associate Director of Training and Standards.
· Foster a culture of accountability, transparency, peer review, and collaboration rooted in best archival practice and a strong commitment to historical preservation.
· Promote interdepartmental collaboration by facilitating open communication across leadership levels and aligning teams around shared priorities and project goals.
· Represent leadership staff needs and concerns to the Vice President of Archival Services, advocating for resource and structural improvements where needed.
SUPPLY CHAIN MANAGEMENT
· Oversee end-to-end supply chain operations to ensure the timely procurement and delivery of archival materials necessary for ongoing execution and servicing projects.
· Act as the primary liaison with key vendors to manage contracts, negotiate pricing, develop needs specific SKUs, ensure service quality, and coordinate bulk or customer orders.
· Collaborate with directors to forecast supply needs based on upcoming project scope, as outline in assessment templates and informed by storage capacity.
· Collaborate with the Finance Department to generate accurate, timely client invoices, and support financial reconciliation processes.
· Monitor budgeted versus actual expenditures across projects and vendor accounts, coordinating with Senior Archivists and Directors to submit necessary change orders.
QUALITY CONTROL
· Implement, and manage a comprehensive quality control program to ensure consistency, accuracy, and excellence across all execution and servicing functions.
· Establish quality benchmarks and performance indicators for each stage of archival services, including installation, iterative sorting, inventorying, arraignment, housing, and labeling.
· Collaborate with the Associate Director of Training and Standards to establish a review schedule for processed collections, ensuring work is sampled and assessed at regular intervals to identify training needs and systemic issues.
· Provide regular reports to the Vice President of Archival Services on departmental quality metrics, continuous improvement efforts, and risk mitigation strategies.
CLIENT SERVICES SUPPORT
· Demonstrate transparency, responsiveness, and professionalism by collaborating with Client Services, setting a standard for Senior Archivists and Directors.
· Provide strategic oversight for new client onboarding, translating archival needs and institutional priorities into customized project plans and deliverables.
· Partner with the Director of Sports and Corporate Collections to ensure Client Services receives constant updates on processing progress, milestones, scope changes, and delivery timelines.
· Proactively flag potential challenges or delays, offering well-reasoned solutions that balance client expectations with project feasibility.
· 10+ years of progressively responsible experience in archival services, including at least 5 years in senior management or director-level roles.
· Advanced degree required: MBA, MLIS, or MA in Archival Studies, History, Museum Students, or related field. PhD preferred.
· Proven ability to supervisor, mentor, develop high-performing teams, including mid-level managers and senior archival professionals.
· Deep expertise in archival standards, preservation practice, research requests, accessions, and processing methodologies.
· Strong project management skills, with a track record of delivering complex, deadline-driven projects on time and within budget.
· Experience designing and monitoring quality control systems and performance benchmarks in an archival or cultural heritage setting.
· Skilled in vendor management, supply chain logistics, and procurement of specialized archival materials and equipment.
· Proficient in budget oversight, client invoicing, and financial reporting with a service-oriented business model.
· Excellent communication and client service skills, with the ability to translate technical archival language into clear, accessible language for diverse audiences.
· Highly organized and accountable, with a proven ability to manage multiple priorities and ensure timely, high-quality deliverables.
· Demonstrated success leading change management, workflow redesign, and department-wide improvement initiatives.
