PURPOSE STATEMENT


Western Missouri Medical Center (WMMC) is seeking a highly organized and professional Communications Assistant to support the Strategy & Development Executive and Communication & Development Team. This dynamic position plays a critical role in advancing WMMC’s strategic marketing initiatives and fundraising efforts by providing high-level administrative and operational support. The ideal candidate thrives in a fast-paced healthcare environment, is passionate about community impact, and brings strong attention to detail, discretion, and initiative.


ESSENTIAL FUNCTIONS

Executive & Departmental Support

  • Prepare professional correspondence, presentations, reports, meeting agendas, and minutes.
  • Assist with departmental budget tracking, invoice processing, and expense reports.
  • Serve as a liaison between the Executive and internal/external stakeholders, representing the department with professionalism and confidentiality. 
  • Manage and maintain calendars, including meeting coordination, travel arrangements, and reminders.
  • Maintain confidentiality and integrity of the office.

Marketing Support

  • Coordinate the production, editing, and approval workflow for marketing materials and communications.
  • Assist with managing WMMC’s website content updates, social media support, and newsletter production.
  • Track campaign timelines, project deliverables, and vendor communications.
  • Support event logistics & planning, community partnerships, and media relations coordination.

Foundation Support

  • Provide administrative and logistical support for donor engagement, annual campaigns, and fundraising events.
  • Maintain accurate donor records and produce acknowledgment letters, receipts, and reports using donor management software.
  • Coordinate Foundation Board and committee meetings, including scheduling, materials preparation, and minute-taking.
  • Assist in community engagement initiatives and hospital volunteer programs supported by the Foundation and Auxiliary.

OTHER FUNCTIONS

  • Maintains regular and predictable attendance.
  • Performs other essential duties as assigned.

Requirements

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS

  • High school diploma or equivalent.
  • Associate’s degree required; Bachelor’s degree in business administration, marketing, communications, or related field preferred.
  • Minimum of 3 years of experience providing administrative support at an executive level, preferably in healthcare, nonprofit, or marketing environments.
  • Strong written and verbal communication skills.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Canva, donor database or CRM software a plus.
  • Ability to handle confidential information with integrity and professionalism.
  • Must be self-motivated and have the ability to work within the established policies, procedures, and practices prescribed by the hospital/clinic.
  • English sufficient to provide and receive instructions/directions.

PHYSICAL/MENTAL REQUIREMENTS

  • Must be able to sit and stand, intermittent 8 to 10 hours a day.
  • Must be able to use standard office equipment, including the telephone and computer keyboard.
  • Continuously works under pressure of near 100% accuracy while meeting inflexible deadlines.
  • Continuously utilizes manual/bi-manual dexterity, near vision, speech, and hearing.
  • Frequently stands, walks, sits and utilizes eye/hand coordination and color definition.
  • Occasionally reaches above shoulder, regularly required to life and/or carry up to 40 lbs.
  • Occasionally walks on uneven surfaces.
  • Ability to travel 10% of the time, including flying and driving rental cars.
  • To accommodate travel, must be able to transport own suitcases and portable computer estimated at 25 pounds.
