Purpose

The Senior Alumni/Constituent Relations Coordinator is responsible for all aspects of alumni and constituent relations in the Plan II program, including liaising with the COLA Development office, alumni event coordination, endowment management, gift processing and reporting, student grant management, annual letters, social media, and program assessment.

Responsibilities

  • Alumni Programs and Communication: Maintain frequent interaction with donors and alumni. Develop programs to engage alumni with the Plan II Honors Program and to help facilitate alumni and student interaction. Serve as liaison between alumni and current students. Coordinate annual meetings of Alumni Visitors Committee. Compose and disseminate a monthly newsletter for alumni, parents, and friends of the Plan II Honors Program.
  • Endowments: Ensure the proper stewardship of endowments. Maintain accounts on each endowment and ensure that funds are distributed each year in accordance with donor wishes. Maintain databases of donors/principals contact information with assistance of the University Development Office. Manage annual letters project for endowment compliance and annual donor impact reports.
  • Event Coordination: Coordination for on- and off-campus alumni/constituent events, including Alumni Visitors Committee, Alumni Tailgate, Special Events, and Admissions Yield Events, coordinated with alumni participation. Assist with coordination of other major Plan II events, including Commencement, the Glickman Lecture Event, and the Carpenter Lecture event.
  • Gifts: Discuss potential gifts and negotiate gift agreements with donors. Cultivate relationships between the program and potential donors, including current students. Create, develop and administer long-term resource development plans, especially for major anniversaries of the program. Maintain donor and alumni information and evaluate reports in VIP for development purposes. Coordinate with University and College development officers as appropriate.
  • Program Assessment: Coordinate senior exit survey for program assessment purposes. Review assessment findings with Plan II Director for use in the Comprehensive Program Assessment required for accreditation for CoLA.
  • Student Grants: Manage the Rowe-Koehl Travel Grant and Worthington essay contest submissions and awards. Coordinate distribution of thank you letters from students to donors for all scholarships issued, including yearly continuing scholarships and those issued by CoLA.
  • Website/Social Media: Responsible for program website maintenance and social media presence, including but not limited to Facebook, Twitter, and LinkedIn accounts in accordance to CoLA specifications and with CoLA Public Affairs staff.

Required Qualifications

  • Bachelor’s degree. Minimum two years of experience in fundraising, nonprofit work, or academic administrative work. Experience with CRM systems and data management and analysis tools.
  • Excellent verbal, written, and interpersonal communication skills.
  • Proven event and project management skills.
  • Demonstrated ability to work effectively in a team-oriented environment.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Three or more years of experience in fundraising, nonprofit word, or academic administrative work.
  • Experience with prospect management systems, e.g. VIP.

Salary Range

$55,000 + depending on qualifications

Employment Eligibility:

Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers. Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
