Salary Range: $21.65 - $25.00

The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.
JOB SUMMARY
The University Advancement Coordinator provides administrative support to the Directors of Development and the University Advancement staff. Primary responsibilities include providing overall office support and administrative assistance, providing internal and external customer service including management of the reception area, coordinating travel arrangements and calendars, preparing meeting and donor materials, managing team space, and coordinating mailings.
ESSENTIAL FUNCTIONS
1. Manage logistics, catering, reservations, RSVPs, and other necessary details for internal and small donor special events, following department and university processes and policies.
2. In collaboration with University Advancement departments and team leaders, identify opportunities to assist with on-going processes. Support the sustainer and gift acknowledgement process to ensure accurate and timely acknowledgement of donors’ gifts. Track, compile, analyze, and summarize data for leaders in appropriate reports and charts. Update processes as needed to increase efficiency.
3. Provide administrative support for University Advancement team members with a primary focus on Directors of Development and Assistant Directors of Development. Assist with follow-up tasks required after a donor visit, create and work with complex and/or confidential documents and data, prepare letters, and coordinate special mailings. Process invoices, reimbursements, reconcile credit card transactions, order supplies, and monitor spending to ensure purchases are within budget parameters and policy. Manage staff calendars for appointments, meetings, and coordinate travel as requested. Manage logistics for meetings including presentations and collateral.
4. Manage the office space and reception area for University Advancement. Greet internal and external visitors, coordinate visitor parking, answer telephone calls to Development, and create a welcoming environment for staff and visitors. Manage facilities requests for the team space and respond to team member requests. Provide back up support to the Associate Vice President Admin and the Vice President Admin. Maintain excellent working relationships with all members of the team, university community, donors, alumni, and constituents. Onboard new University Advancement staff members to ensure a successful transition onto the team. Work closely with all University Advancement teams in support of giving efforts, engagement, and events; staying up to date on University and University Advancement policies and procedures.
