Job Description Summary

Organization's Summary Statement:
The University of Maryland Eastern Shore (UMES) invites applicants for a full-time, non-exempt position in the Department of Residence Life.

Reporting to the Assistant Director of the Office of Residence Life, the Housing Coordinator: Administrative, under general supervision, facilitates and coordinates the day-to-day operational activities of the campus housing and/or residence life programs and provides complex administrative support to an individual, office, department or program. Work requires comprehensive knowledge of the organization or program where assigned, skill in working with issues related to policy, procedures, and confidential matters, and involves considerable participation in the work of the supervisor. Incumbents exercise discretion and judgment with considerable consequence of error.

Essential Responsibilities:
•Provides potential student residents and quests with information regarding housing accommodations on and off campus.
•Converts rough copy and drafts to final version quality reports, presentations, and documents including incorporating edits from multiple reviewers, adding graphics and effects to presentations, and applying campus style guidelines.
•Edits, formats, and revises a variety of documents and materials created by others. Proofreads for grammatical, typographical and basic content errors.
•Develops, implements, and maintains paper and electronic filing systems which meet department needs and satisfies requirements for retention and information security. Enters, updates, and retrieves information as needed in multiple systems including housing system and university student information system. Creates reports as needed.
•Researches, analyzes, and summarizes information and source materials for reports independently and communicates findings orally and in writing.
•Applies housing charges and refunds to student accounts. Accounts for all charges related to housing assignments in designated housing system.
•Receives and screens telephone calls and visitors. Independently handles procedural and substantive matters and inquiries which do not require technical knowledge or refers callers to others as appropriate.
•Manages the contracts and housing files on each student or guest resident by using the appropriate reporting systems.
•Provides information requiring comprehensive knowledge of institutional policies, procedures, and special departmental issues.
•Makes all necessary arrangements for travel and independently performs required administrative follow-up and recordkeeping.
•Anticipates supervisor's course of action when absent and facilitates problem resolution. Interprets administrative decisions and policies to other staff and transmits directions and instructions based on authority delegated by the supervisor.
•Provides general office support services such as answering phones, greeting visitors, typing, mailing, ordering supplies, and processing payments.
•Assists in preparing and administering department strategic plans by updating records and running periodic reports.
•All other duties as requested.

Preferences:
•Three years of experience providing administrative support.

Physical Demands:
•May require extended periods of standing, bending, sitting at desk.
•May require lifting up to 25 lbs.
•Requires communication with a variety of constituents externally and internally.
•Requires operation of a variety of office equipment.

Minimum Qualifications

EDUCATION: High School Diploma or GED.

EXPERIENCE: Three years experience in student housing, residence life, or directly related field.

OTHER:

REQUIRED KNOWLEDGE/SKILLS/ABILITIES:

Comprehensive knowledge and skill in the practical application of office practices, procedures, and equipment. General knowledge of bookkeeping principles and accounting standards. General knowledge of and skill in the use of word processing, database, and spreadsheet software programs. Skill in compiling and summarizing information. Ability to handle sensitive matters with discretion and tact. Ability to project a professional and positive image. Ability to interact with students, staff, and other university employees in a courteous and efficient matter. Ability to communicate effectively orally and inwriting. Ability to operate computers and other office equipment.

OTHER:

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
