The Administrative Coordinator II provides vital administrative and event support to the Artie McFerrin Department of Chemical Engineering (CHEN). This position plays a key role in faculty search coordination, departmental events, visitor logistics, and faculty affairs. The ideal candidate is proactive, resourceful, detail-oriented, and thrives in a dynamic academic environment. Strong communication, organizational, and writing skills are essential, along with the ability to learn and manage various platforms and tools (e.g., Microsoft Word, Adobe Suit, Canva, Interfolio).

Responsibilities:

Administrative Support

  • Provides core administrative support to faculty in the department including booking travel, completing expense reports, and processing reimbursements for faculty leadership and guests.
  • Orders nameplates for new CHEN faculty and staff and coordinates department plaques.
  • Supervises student workers and assists with the planning and execution of day-to-day administrative activities and services.

Event Planning and Coordination

  • Plans and coordinates department events.
  • Serves as the lead organizer and point of contact for the CHEN holiday party, scholarship banquet, graduation ceremonies, and faculty/staff appreciation events.
  • Assists with logistics for advisory council meetings as needed.
  • Attends and supports all department-hosted events, often managing multiple event timelines simultaneously.

Visitor Coordination

  • Manages all aspects of the department’s Lindsey Lecture Series, Distinguished Visitors, and candidate visits as part of the faculty interview.
  • Coordinates travel, builds detailed itineraries, processes expense reports and reimbursements, and provides general support to guests throughout their visit.
  • Produce internal and external materials that follow university and college brand guidelines. Because of the complexity of visitor logistics, this role demands advanced planning, time management, and attention to detail to ensure a positive and professional experience for all guests.

Faculty Affairs Support

  • In partnership with the Senior Administrative Coordinator II (SACII), the coordinator supports various faculty affairs operations.
  • Assists with faculty search processes (arranging their visits and related activities), departmental awards, and maintaining tracking logs.
  • Monitors project timelines, identifies issues, proposes solutions, and provides backup support for faculty affairs-related tasks when needed.

Other Duties

  • Serves as the primary liaison with telecommunications to coordinate phone setup or resolve phone-related issues within the department.
  • May be cross-trained and step into other administrative roles when the department is understaffed.
  • Additional responsibilities may be assigned as needed to support the overall efficiency of departmental operations.

  • Bachelor's degree or equivalent combination of education and experience.
  • Three years of related experience.
