Executive AssistantPosition Overview
Shaw Industries is seeking an Executive Assistant.
The Executive Assistant performs a variety of administrative and support functions as directed by senior leadership in Logistics. The Executive Assistant assists in coordinating the day-to-day activities of these leaders, frequently undertaking assignments or projects which require significant independence, prioritization and decision making with minimal supervision. The Executive Assistant demonstrates impeccable ethical standards, professionalism, confidentiality, and a positive attitude.

Responsibilities
Administration of confidential and sensitive information, including personnel, financial, and other types of data. Internal communications including departmental, interdepartmental, initial point of contact for a variety of corporate functions, and routine coordination with executive management and their staffs.
External communication and coordination with third parties.
Provide efficient and professional primary phone support for leadership team, which may include problem resolution, connecting with off-site team, and/or effective message documentation.
Make travel arrangements and prepare itineraries utilizing Shaw’s travel system.
Prepare and submit expense reports utilizing Shaw’s expense management system.
Manage conference room schedules and equipment set-up and coordinate catering of meals for meetings and events.
Participate in special projects or committees as requested.
Prepare presentation materials for initiatives or meetings, as needed.
Coordinate travel and meeting logistics for customer, stakeholder, and associate events, as needed.
Coordinate the vendor maintenance process and the development of requisitions to process outside invoices for products and services.
Procure and maintain supplies through Shaw’s procurement system.
Maintain appropriate filing systems that comply with Shaw’s record retention policy.
Other miscellaneous administrative and support duties as assigned.
Qualifications
High School Diploma/GED
3+ years of experience in a professional office environment.
Preferred Skills/Abilities/Knowledge
Experience supporting senior leaders in a professional office environment.
Ability to communicate clearly and effectively through written and oral communication to groups and individuals.
Proficiency required in use of office technologies, including Microsoft Office Suite (Word, Excel, Power Point), and office equipment.
Ability to make sound decisions based on previous experience.
Ability to prioritize and meet deadlines.
Flexibility to change directions and priorities, as needed.
Ability to work overtime as needed to satisfy job requirements.
