Finance & Administrative Associate

PERTS seeks a detail-oriented, proactive, and highly organized Finance & Administrative Associate to provide temporary coverage during family leave.

PERTS (perts.net) helps educational organizations advance educational equity by enabling them to continuously measure the impact of educational practices on students’ experiences—experiences like identity safety, personally and culturally relevant content (see perts.net/elevate/measures-refs).

PERTS is located in San Francisco, and we have a remote working culture that welcomes candidates from across the U.S.  The role is a part-time temporary position ranging from 15-25 hours per week. The pay range is $38-44/hr (based on experience/education/location), beginning as soon as possible. This position will report to the director of operations. The schedule has some flexibility. We anticipate this temporary position lasting approximately six months. Temporary employees are eligible for wellness time, which is accrued on a prorated basis based on their average hours per week.

Because inequitable educational systems disproportionately harm marginalized communities, we believe that these communities must be centered in the work we do. Hence, we strongly encourage applications from members of marginalized communities as a part of cultivating a diverse talent pool.

Our team is committed to contributing to something bigger than ourselves while caring for each other as a team. Our core values are:

  • Create a more equitable world.
  • Our community is warm and inclusive.
  • Focus on improvement, not blame.
  • Love the truth.
  • Practicality beats purity.

Core Responsibilities

The Finance & Administrative Associate will support the PERTS team doing a variety of tasks, that will include some combination of:

  • Process and track invoices and payments in accordance with internal financial procedures.
  • Review expenditure statements, research and resolve discrepancies, collaborating with accountant, manager, and other team members as needed.
  • Manage non-payroll spending allocations including co-managing grant allocations with the director of operations.
  • Submit travel and purchase reimbursements for PERTS employees and verify purchasing card/travel card transactions for multiple team members.
  • Set up and process honoraria and/or stipends for various organizational purposes.
  • Coordinate vendor relationships and logistics, alongside the director of operations.
  • Support organization calendaring and event planning.
  • Assist the onboarding and offboarding of staff and vendors.
  • Own other key organizational projects that require attention to detail and tight organizational skills, as needed.

The following skills and experience are necessary to be successful in the role:

  • Commitment to the mission of promoting equity in America’s educational system.
  • Willingness and ability to learn quickly and take on a variety of projects with minimal supervision.
  • A growth mindset and desire to acquire new skills and learn new systems.
  • Exceptional organizational abilities and attention to detail.
  • Very strong written and verbal communication skills.
  • Familiarity with and/or a desire to learn a variety of technology tools and software including Google Suite, MS Suite, CRM (Salesforce and Freshsales), financial management software (Netsuite), Adobe, Dropbox, Box.
  • Strong interpersonal skills.
  • Customer-service orientation.
  • Excellent problem solving skills.
  • Experience with data collection, entry, and management.

The following skills and experience are not required, but potentially useful for this position:

  • Understanding of basic accounting principles.
  • Work experience in education, psychology, and/or nonprofits.
  •  Experience with or insight about the challenges faced by students from historically underrepresented minority groups and/or from disadvantaged socioeconomic backgrounds.
  • Experience in a finance and/or office administrative role.
  • Bachelor’s Degree Psychology, Business, Education, or a related field.

Cover letters are highly recommended, but not required.
